Position Overview
We are seeking an Accounts Payable Specialist for a 3-month hybrid contract in Toronto, with the potential for extension. This role is responsible for ensuring the accurate and timely recording, reconciliation, and payment of installer vendor invoices and corporate credit card transactions.
The ideal candidate brings accounting/finance experience, proficiency with Microsoft Excel, and the ability to collaborate cross-functionally in a fast-paced environment.
Key Responsibilities
Installer Vendor Management
- Close completed work orders and prepare them for payment.
- Track and reconcile work order errors based on invoicing on a daily basis.
- Partner with dispatch and fulfillment teams to resolve issues and identify internal process improvements.
- Provide training and support to installers regarding invoicing, CRM use, and work order completion.
- Continuously enhance knowledge of the CRM and Installer Portal.
- Calculate and post accruals for unbilled services within each month.
- Manage the full cycle of installer vendor payments, including posting, coordinating payment, reconciling, and sending remittance advice.
Credit Card Management
- Maintain full ownership of the corporate credit card portal.
- Distribute monthly or bi-weekly statements and organize transaction reports in Excel for cardholders.
- Monitor balances across corporate cards and manage funds efficiently.
- Work with departments to proactively forecast and track charges.
- Manage the full cycle of credit card payment posting and reconciliation.
Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field preferred.
- 1+ years of experience in accounting or finance, ideally in the technology/software industry.
- Experience using Microsoft accounting software preferred.
- Advanced proficiency in Microsoft Excel, including lookups and pivot tables.
- Strong verbal and written communication skills with the ability to interact effectively with stakeholders at all levels.
- Demonstrated ability to balance competing priorities, meet deadlines, and adapt to changing business needs.
- Proven ability to implement and manage process improvements.
